We are looking for a Development Events Manager with demonstrable experience of leading, managing and delivering events and strong project management skills. They will be responsible for the planning, administration and delivery of all development events at the Donmar Warehouse.

Our Development Team

The Donmar has an exceptional ability to raise private funds, and the vital importance of fundraising is recognised across the organisation and embedded in the overall strategy. Each year we raise around half our income through fundraising from a varied number of sources, with corporate income representing around a third of the fundraised income. The Development team is led by the Director of Strategic Development and Fundraising, and comprises 11 people.

Purpose of the role

The Development Events Manager will be responsible for the planning, administration and delivery of all development events at the Donmar Warehouse, working alongside the Head of Trusts and Events and with support from the Events Administrator.

Who We Are Looking For

The successful candidate will have demonstrable experience of leading, managing and delivering events and strong project management skills. They will have excellent organisational and communication skills and the ability to proactively work on their own initiative as well as in a team, with very strong attention to detail. They will be used to working in a fast-paced environment and to leading multiple events simultaneously.

TERMS

Permanent, Full Time

Salary: £33,000 per annum

Working Hours: Due to the nature of the role you will be required to work some weekday evenings on a regular basis and very occasionally on the weekend. A TOIL system is in operation.

Duties and Responsibilities

Lead responsibilities

  • Lead on the planning and scheduling of all events for the Development team, working closely with the Director of Strategic Development & Fundraising and the Heads of Development.

Event Administration

  • Working with the Heads of Development, Director of Strategic Development & Fundraising, and in consultation with the wider organisation, plan and schedule all Development events. This includes internal and external events.

Development Team Support

  • To arrange site visits, liaise with external venues and organise transport to and from events for attendees as necessary.

Cross-Organisational Responsibilities

  • To liaise across the organisation around event operations, especially with BOH, FOH and the Operations team.

General Duties and Responsibilities

  • To build upon the supporter relationships to ensure satisfaction and continued support.

Person Specification

Essential Criteria
  • At least 18 months of experience successfully leading and project-managing events (including planning, organisation and delivery) in a fast paced environment, preferably in a similar sector, field, or venue.
  • Ability to proactively work to one’s own initiative as well as within a team.
  • Demonstrable attention to detail.
  • Robust budget management skills, including tracking expenditure and projecting income.
  • Exceptional verbal and written communication skills when working with a range of different groups of people, both internally and externally to the organisation.
  • Excellent organisational and time management skills, ability to multi-task and prioritise a complex workload, and maintain a high degree of focus whilst working under pressure.
  • Excellent administrative and IT skills – ability to use Microsoft Word, Excel, and Outlook, with an understanding of databases and their usage.
  • Ability to work some long and unsociable hours during busy periods around productions.
  • Proven ability to juggle a wide range of competing demands and deliver to deadlines.
  • A pro-active, can-do attitude and collaborative team member conveying a professional attitude and appearance at all times.
  • Excellent customer service skills and supporter care, demonstrating problem-solving and adaptability, and showing a keen awareness of client and supporter requests while balancing this with competing pressures.
  • Excellent communication skills, demonstrating the ability to communicate effectively and positively with all colleagues, clients, supporters and a diverse customer base.
  • Ability and willingness to work some weekday evenings on a regular basis and very occasionally on the weekend. Time off in lieu is given for evening and weekend work.
Desirable 
  • Experience of meticulously planning and delivering events independently.
  • Working knowledge of a theatre box office system / database such as Spektrix and email marketing platform such as DotDigital, Wordfly or Mailchimp.
  • Has an interest in theatre and/or the arts.
  • Experience of seamlessly logging guest RSVPs, noting any requests, access requirements or dietary requirements.
  • Working experience managing allergens and dietary needs according to policy and a demonstrable understanding of Health and Safety in an Events setting.
