Performing Companies Coordinator (Olivier Awards)

This is a key role within the Olivier Awards Production Team in which you will work with the General Manager and Production Manager to help coordinate all performing company logistics. You will be responsible for looking after all performing companies and talent during the rehearsal week, and the awards weekend. You will assist in the coordination of production deliveries and work with visiting Company Managers, General Managers and Producers of performing companies during the Olivier Awards ceremony. You will manage the dressing room allocations and movement of companies backstage and to the Green Carpet. In addition, you will assist the production team with other tasks in the run up to the awards ceremony. Key Responsibilities and Accountabilities. Working relationships with team members on projects and with other members of staff where appropriate within the organisation.

Your key responsibilities and accountabilities are:
• Collate all Performing Company technical questionnaires, click or backing tracks, lyrics and screen content.
• Collate performance extract footage and deliver to relative Creatives.

  • Confirm all casts and production teams and collate/distribute all necessary information including: rehearsal details, security passes, dietary, catering, access and mic requirements.
    • Ensure all communication is delivered to relevant Production Offices.
    • Assist in the scheduling of all rehearsals and communicate with all productions.
    • Attend and assist the Stage Manager and DSM in rehearsals.
    • Coordinate all Performing Company logistics and movements at rehearsals and the awards ceremony venue.
    • Coordinate all dressing room spaces and riders.
    • Create a performing company Green Carpet schedule with relevant teams.
    • Assist visiting production Company Managers and Production Teams during the ceremony with moving casts backstage and around the building. Other:
    • To support the work of the General Manager, Production Manager and Production Team across a range of tasks.
    • To act as an ambassador for SOLT and the Olivier Awards.
    • To assist in organising meetings, creating agendas and circulating action points.
    • To assist with the smooth running of the Nominees’ Celebration, Green carpet Event and After Party.
    • Any other reasonable duties required to ensure the smooth running of the Event.
